About Businessline/Function :

ISPL Compliance Hub is focused to protect the reputation of the Group and effectively manage risk across all business areas by providing support to various Compliance function. At present, the department is broadly organized into divisions, which embed into the areas they support to provide services for Global Compliance training, Capital Markets Surveillance, Electronic Communication Surveillance, Compliance Migrations Co-Ordination, Personal Account Dealing, MIS and Projects Support. Position Purpose

The Executive Management Support is required to provide comprehensive administrative support to facilitate the efficient functioning of the Singapore and Hong Kong Compliance department, ensuring seamless coordination, effective communication and optimal time management for the executive team.

The management support will be based in ISPL Mumbai and provides administrative support to senior managers, team heads and team members of the Compliance department in the APAC region.

Responsibilities

 

Direct Responsibilities

 

Provide comprehensive administrative support to senior managers, team heads and team members of the Compliance department in Hong Kong and Singapore, including:

    • managing calendars and meeting arrangements for senior managers
    • consolidating meeting agenda for management committees
    • booking of meeting rooms, equipment and facilities
    • organizing travel bookings including flights, taxi, hotel reservations and visa arrangements
    • handling expense claims for senior managers and team heads
    • assist with onboarding of new joiners and offboarding of leavers
    • maintaining shared drives and sharepoints, distribution lists and access lists
    • arranging IT and physical access requests
    • liaise with IT infrastructure teams
    • assisting on communications with internal and external parties
    • requisition of stationery and name cards
  • Assist overseas Compliance colleagues in their meeting schedules, visa arrangements, access card, working room or desk arrangements, etc during their visit to Hong Kong and Singapore offices.
  • Support the planning and execution of departmental events, including meetings, trainings, seminars, work lunches and other group activities for the department.
  • Collaborate with other executive assistants and secretaries within Asia Pacific Compliance and support jointly on departmental and region wide administrative tasks as needed.
  • Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies.

Technical & Behavioral Competencies

·       A minimum of 5-7 years of relevant experience, with a background in secretarial or executive management support

  • Familiarity with financial services industry
  • Experienced in handling senior managers’ day to day requests, notably on calendar management, travel arrangements and event coordination
  • Confident and comfortable with working with all levels of seniority in the bank
  • Ability to apply flexibility and adapt to changing priorities and request.
